How to Compress Images and Videos in a PowerPoint File
Your PowerPoint presentation may contain engaging media content, including eye-catching images and concept-enlivening videos. However, as presentations become more complex, their file sizes can become unmanageable. Luckily, Microsoft PowerPoint allows you to compress media in your presentation file.
A large PowerPoint file consumes more storage space and complicates email sharing. This guide will help you compress photos and videos in your PowerPoint file, reducing its size.
How to Compress Images in a PowerPoint Presentation
Microsoft PowerPoint simplifies the process of reducing image size in presentations. To compress specific images in your PowerPoint file, follow these steps:
Step 1: Open PowerPoint and access the desired presentation.
Step 2: Choose the image(s) you want to compress. Multiple images can be selected by holding Control.
Step 3: Select the Picture Format tab, then choose Compress Pictures.
Step 4: Tick the checkboxes that say ‘Apply only to this picture’ and ‘Delete cropped areas of pictures.’
Step 5: In Resolution, select your preferred option based on your intended use of the picture, such as screen viewing or printing. Click OK.
After completing the above steps, PowerPoint will compress the selected images. To compress all the images in your PowerPoint presentation at once, follow the steps mentioned above and deselect the ‘Apply only to this picture’ option in Step 4.
How to Change the Default Resolution for Images in a PowerPoint File
Although PowerPoint simplifies the image compression process in presentations, it can still be tiresome to repeat this process. To avoid that, you can set the default resolution for images in your PowerPoint file by following these steps:
1. Open the PowerPoint file where you want to set the default image resolution.
2. Click the File menu in the top-left corner.
Step 2: Select Options from the left pane.
To access Options, follow these steps:
1. From the left pane, select Options.
2. Choose Options from the drop-down menu.
3. Click on Options in the left pane.
4. Select Options from the list on the left side of the screen.
5. Navigate to the left pane and click on Options.
6. Access Options by clicking on it in the left pane.
Following these steps will allow you to select Options from the left pane.
Step 3: Open the PowerPoint Options window and choose the Advanced tab.
Step 4: Scroll down to the Image Size and Quality section. Uncheck the ‘Do not compress images in file’ option. Use the drop-down menu next to Default resolution to select your preferred option. Click OK.
To further reduce the image size, tick the ‘Discard editing data’ checkbox. This will erase stored data used to restore the image. If you select this option, you won’t be able to restore the image after editing it.
How to Compress Videos in a PowerPoint Presentation
Pictures can increase the size of your PowerPoint file. Videos can also be compressed to reduce the overall file size and improve media playback performance in PowerPoint.
To compress video files in your PowerPoint presentation, follow these steps:
1. Launch PowerPoint on your PC and open the presentation with the video file.
2. Click the File menu in the top left corner.
Step 3: Go to the Info tab in the left pane. Check the total media file size in your presentation under the ‘Media Size and Performance’ section.
Step 4: Click Compress Media and choose your preferred resolution: Full HD (1080p), HD (720p), or Standard (480p).
Step 5: Wait for PowerPoint to compress media files and click Close.
PowerPoint compresses all videos and audio in your file to the chosen resolution. If you are unsatisfied with the quality of the media files after compression, go to the Info tab, click Compress Media, and select Undo.
