Having a backup copy of your files can provide a sense of security in case you can’t access the primary file(s) due to unforeseen circumstances. Taking a cloud backup of your offline files is now considered standard practice, as you wouldn’t want to lose your important data. Zoho Docs allows you to sync your files with Dropbox or save your Writer file to your Google Drive account. Here’s how to do it.

Syncing with Dropbox

Zoho Docs lets you configure your Dropbox account. The catch is that it’s a two-way sync, meaning all your files will be synced between Zoho and Dropbox.

To configure your Dropbox account, follow these steps:

Step 1: Open Zoho Docs and click on the Dropbox icon at the upper-right corner. Then click on Configure your Dropbox account.

Now, you’ll be redirected to a sign-in page. Enter your Dropbox account details and log in.

Step 2: Once the account is verified, you’ll see your Dropbox username. Click on it to go to the sync configuration page.

The folder structures of both Dropbox and Zoho Docs will be displayed, and all you need to do is select the right folder. Once done, hit the Sync Folders button and the sync will start immediately.

You can choose the sync timings. Depending on your priority, select Sync Continuously. But I recommend choosing the Sync once option as it takes care of most things.

Things to Keep in Mind

Zoho Docs only allows syncing of one Dropbox folder. Currently, I have kept my Dropbox folder empty to avoid syncing these files with Zoho. Moreover, Zoho does not support syncing of sub-folders and the files within them.

Additionally, if you delete a file in one service, you will need to manually remove the files in the other service. Zoho Docs does not offer file deletion sync at this time.

Syncing with Google Drive

Zoho Docs doesn’t let you sync folders to Google Drive, technically speaking. Instead, save a file directly to Google Drive or your Dropbox folder. To save a file to Google Drive, complete your work and address any comments, then click on File > Save to other Drives and select Google Drive from the list.

To access your Google Drive folders, sign in and grant necessary permissions. Then, you can view your folders in the window.

Now, you can either select or make a new folder to save your file. Simply hit the ‘Add to this folder’ button, and your document will be uploaded immediately.

The process allows you to select the file format, such as PDF, DOCX, or ODT. You can choose from multiple Google Drive accounts. If you have privacy concerns, you can easily remove the account after completing your work.

Unfortunately, the same feature is not enabled for Zoho Presentation or Zoho Spreadsheet.

What About Offline Backup

Zoho Docs doesn’t natively backup your files to your PC, but there’s a workaround for achieving similar results. As a Zoho Docs user, you can download files to your PC with many options to choose from. Whether you want to save the file as a PDF or plain text file is up to you. To do this, open File, click Download As, and choose an option. You can also password protect files if using a shared computer.
